How we handle personal information across the Seedwork platform and website, and the choices you have.

In plain terms

This page explains what we do with personal information. If your organization uses the Seedwork platform, it owns the donor and grant records it uploads, and we handle that information only on its behalf. We do not sell personal information, and we do not use customer content to train AI models.

This summary is here for orientation and is not part of the policy below.

1Scope and our two roles

This policy covers two different situations, and your rights depend on which applies.

When you visit our website, create an account, or communicate with us, we act as a controller of your personal information and this policy governs directly.

When a customer organization uses the platform and uploads information about its own contacts, donors, and constituents, that customer is the controller of that information and Seedwork acts as a processor, handling it under the customer's instructions and our Data Processing Agreement. If you are an individual whose information was provided to us by a nonprofit that uses Seedwork, please contact that organization to exercise your rights, and we will support them in responding.

2Information we collect

Account and contact information: name, work email, organization, role, and anything you send us directly.

Usage and device information: log data, IP address, browser and device type, and how you interact with the platform and site.

Cookies and similar technologies: see section 8.

Customer content: information our customers upload or generate in the platform, including records about their donors and grant activity. We process this on their behalf as a processor.

3How we use information and our legal bases

We use personal information to provide and secure the platform, operate and improve the site, communicate with you, process payments for subscriptions, comply with law, and protect our rights. Where a legal-basis framework applies, we rely on performance of a contract, our legitimate interests in operating and improving the service, your consent where required (for example, certain cookies), and compliance with legal obligations.

4AI features and your data

The platform uses artificial intelligence to help customers with tasks across Grants, Donor Engagement, and Planning.

We do not use customer content to train foundational AI models, and we do not permit our AI infrastructure providers to do so. Customer content submitted to AI features is used only to generate outputs for that customer.

AI features are delivered in part through third-party AI infrastructure providers. We contractually restrict how those providers may use data, prohibit their use of customer content for model training, and require appropriate retention and deletion terms. The providers we use are available on request at privacy@seedwork.co.

AI outputs can contain errors. Customers are responsible for reviewing AI-assisted outputs before relying on or acting on them.

5How we share information

We share personal information with service providers and sub-processors that help us operate, available on request at privacy@seedwork.co; with professional advisors and authorities where required by law; and in connection with a merger, financing, or sale of assets.

We do not sell your personal information for money. See section 8 for how we handle advertising and your right to opt out of sharing for cross-context behavioral advertising under California law.

6Retention and deletion

We keep personal information for as long as needed to provide the service and for legitimate business and legal purposes, then delete or de-identify it. Customer content is retained and deleted according to the customer's instructions and our agreement with them.

7Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest and access controls. No method of transmission or storage is completely secure.

8Cookies and advertising

Our site uses cookies and similar technologies that are strictly necessary to operate the site, and, where enabled, analytics cookies that help us understand site usage and advertising cookies that support marketing and retargeting. You can control cookies through your browser and through any consent banner we present.

Under California law, our use of advertising and retargeting technologies may be considered sharing of personal information for cross-context behavioral advertising. You can opt out using [the "Your Privacy Choices" link], and we honor Global Privacy Control signals.

9Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information, and to opt out of certain processing. California residents have rights under the CCPA as amended, including the right to know, delete, correct, and opt out of sale or sharing. We do not sell personal information for money. To exercise any right, contact us at privacy@seedwork.co. We will not discriminate against you for exercising your rights.

If your information was provided to us by a nonprofit customer, direct your request to that organization as described in section 1.

10Children

The platform is a business tool not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

11International users

We operate in the United States and process information here. We do not currently target or offer the service to customers in the European Economic Area or the United Kingdom.

12Changes

We will update this policy from time to time and will change the effective date above. Material changes will be communicated through the site or by email.
